Unit 03 Temporary Faculty - Non-Instructional Information

The below information is for Unit 03 temporary faculty appointments with a non-instructional appointment. These types of appointments are typically for Unit 03 Coaches, Counselors and Librarians. These employees are encompassed by the Unit 03 Collective Bargaining Agreement (CBA).

Unit 03 Coaches

The California State University (CSU) system classifies "athletics coaches" as Unit 03 faculty employees under the following classifications: Coaching Assistant (AY, 10-mo, 12-mo), Coaching Specialist (AY, 10-mo, 12-mo), and Coach (AY, 10-mo, 12-mo). The Head Coach (AY, 10-mo, 12-mo) classifications may be Unit 03 Faculty OR MPP depending on the provisions in Article 1.4 of the Collective Bargaining Agreement (CBA).

This appointment is contingent upon meeting current program needs and/or sufficient funding. The appointment may be renewed based upon satisfactory performance and program needs. Should any of these contingencies occur for the Department of Athletics or the University, the University reserves the right to cancel this appointment or to change the time base of the appointment.

All new faculty or faculty who have had a break in service for 12 months or more must undergo a background check.

Per CSU-wide policy (HR2021-04), all faculty who will begin initial employment (or return from a 12-month break in service) on or after January 1, 2022 are required to perform their work from within the State of California. Faculty hired prior to January 1, 2022 must be available to perform work in the State of California if their assignment is in-person.

Employees who have previously retired from a CalPERS agency (known as Rehired Annuitants) are subject to certain restrictions during their appointment. See our Rehired Annuitants page for more information.

Coach appointments in this class may be EXEMPT under FLSA. Based on the duties and salary assigned, Sacramento State Athletics has determined this position to be EXEMPT from the overtime provisions of the Fair Labor Standards Act (FLSA). The number of hours worked per week throughout the period of employment will vary depending on needs of the department, and exempt employees do not receive overtime pay.

12-month and 10-month temporary faculty coaches will be paid for the duties of the appointment monthly based on the amounts indicated on the appointment notification. These classifications will accrue vacation credit at the rate of 16 hours per month (if less than full-time, this accrual will be pro-rated based on timebase).

AY temporary faculty coaches are paid according to the number of academic workdays in each semester. Therefore, temporary faculty whose appointments begin late or who have a late change in their assigned time base will have their first and last monthly checks prorated accordingly. The payments for temporary faculty coaches appointed for the Fall semester and re-appointed for the Spring semester are dispersed as follows: Fall Appointment--September through January with final settlement the following August. The August check is payment for the time base from the previous Fall semester. Spring Appointment--February through June with final settlement in July

The University requires that its sports programs be operated in accordance with National Collegiate Athletic Association (NCAA), or an athletic association or conference of which Sacramento State is a member, and University rules, policies, and procedures. A violation of any law, rule, regulation, constitutional provision, bylaw or interpretation of the University, the NCAA or affiliated athletic conference by you or those you supervise (including student athletes in your program), which reflects adversely upon the University or its athletic program, or which results in the University being placed on probation by the Big Sky, affiliate athletic conference or the NCAA, may lead to your dismissal. In accordance with Bylaw 11.1.1 - Responsibility of Violations of NCAA Regulations, institutional staff members found in violation of NCAA regulations shall be subject to disciplinary or corrective action as set forth in Bylaw 19.12, whether such violations occurred at the certifying institution or during the individual’s previous employment at another member institution. (Revised: 7/31/14). As stated in NCAA Bylaw, 11.2.1, If, after a University and/or NCAA investigation, Employee is found to have violated NCAA, athletic conference or University rules or regulations during prior employment at another NCAA member institution or while employed by the University, Employee shall be subject to disciplinary or corrective action up to and including termination for cause. Should there be an investigation into any alleged violation, the Employee shall cooperate fully in accordance with NCAA Bylaw 19.2.1. NCAA Bylaw 11.3 requires all coaches to submit annual reports of all athletically-related income from sources outside of the University through the Director of Athletics to the University President. The Director of Athletics or designee will discuss with you the timing and details of this report.

Unit 03 Counselor (SSP-ARs)

The California State University (CSU) system classifies Student Service Professionals - Academic Related [SSP-ARs] (also known as Counselors or Pychologists) as Unit 03 faculty employees under the following classifications: SSP-AR (AY, 10-mo, 12-mo).

This appointment is contingent upon meeting current program needs and/or sufficient funding. The appointment may be renewed based upon satisfactory performance and program needs.

All new faculty or faculty who have had a break in service for 12 months or more must undergo a background check which could be a LiveScan screening, which involves submitting fingerprints at a certified LiveScan Service Center.

Benefits

The CSU offers eligible employees a comprehensive benefits package including health plans, retirement plans, tuition reduction, disability leave options, and other benefit programs. Upon enrollment, and within the established enrollment deadlines/timeframes, benefits are effective on a prospective basis.

Retirement:
Federal law requires that all employees be covered by a retirement program. The appropriate retirement program and social security eligibility are based on time base and length of appointment. Please notify the HR Payroll Office if you retired from CalPERS since your last appointment.

Healthcare:
Pursuant to the Unit 3-Faculty Collective Bargaining Agreement (CBA), faculty employees qualify for benefits within 60 days of a qualifying appointment under the below criteria:

  • 12-mo and 10-mo classifications must have an appointment exceeding six months and one day, with a time base of at least 50%.
  • AY classifications must be appointed for at least one semester with a timebase of 40% (6 units) or more, are eligible to enroll in benefits.

Onboarding

As a new employee (or an employee with a break in service) at Sacramento State, you are required to submit the new hire paperwork and complete the I-9 verification in person at the Human Resources – Employment Services Office within your first week of employment. Please follow the steps below to complete the process:

  1. Complete mandatory I-9 Verification New employees (and returning employees who have separated from the University for more than one year) must complete this process. You will receive an email from i9complete@trackercorp.com that will include a link to their module where you will be required to input the requested information.

    • You must complete section 1 at the time of hire (by or on the first day of your employment date).

    • Within three (3) business days of the date your employment begins, you must present your original documents to the Employment Services office located on campus in Del Norte Hall, 3009.

  2. Complete the new hire paperwork via Adobe Sign:
    • You will receive an email from Faculty Affairs with the subject line "Signature requested on ABA_HR_New Hire Paperwork."
    • Click on "Review and sign" in the email to complete the required forms. The forms will guide you through all mandatory fields.
  3. Print and submit the paperwork:
    • After completing the forms, print a copy of the signed new hire paperwork.
    • Submit the printed paperwork to the Employment Services Office in person and complete the I-9 verification.
  4. If you are unable to print the paperwork, a blank copy of the new hire paperwork is available at the Employment Services Office.

The entire process should take about 5-15 minutes. Please note that the beginning of the semester is a busy time for onboarding, so there may be a wait. For office hours and contact information, please visit the Employment Services Office website.

Your department will inform you when you are able to create your SacLink account and Sacramento State email address to receive your appointment notification, as well as other campus system access. Please visit the Information Resources and Technology website and follow the instructions to set up your SacLink email account.

As a new faculty member, you are required to review and acknowledge University policies and determine and acknowledge your mandated reporter status. Relevant policies can be found in the Policies & Procedures” page or in the University Policy Library.

To acknowledge you have reviewed these policies you must complete the following forms, which can also be found on the Employment Services New Employee website in the Required Forms section under “Faculty”.

Employees can obtain a OneCard by taking a copy of your appointment notification letter, along with your employee ID number, and a photo ID to the Bursar's Office, Lassen Hall, Room 1001. Please visit the OneCard website for their office hours. If you have questions about the OneCard you can contact 916-278-1000, option #3 or email vickersca@csus.edu.

Sacramento State uses virtual permits and License Plate Recognition (LPR) on campus. Your license plate now functions as your parking permit. To purchase a permit or set up an annual payroll deduction, please visit the UTAPS (University Transportation & Parking Services) Office at the Welcome Center with your employee ID provided by your department.
