Move to Production (MTP) Schedule and Campuswide Transaction Pauses

As we prepare for the Common Human Resources System (CHRS) Move to Production (MTP), important deadlines impact campus operations. The campus HR system interacts with various other systems, some of which may need to be temporarily paused. Prior to go-live March 24, 2025, CMS-HR will be offline in order to migrate all current employee data to CHRS.

Below is an overview of the impacts on campus processes and systems, including deadlines to ensure all in-progress business transactions are completed before system outages. Some deadlines are set by the CSU Chancellor’s Office for all campuses in the CHRS project. Go-Live of the CHRS system is scheduled for March 24, 2025.

2/21/2025 HR, Budget, FA Workflows Pause

In preparation for migrating current data, the Human Resources, Budget Administration and Faculty Affairs functional teams will need to complete transactions in all workflow stages. Accepting NEW transactions and other business functions will pause beginning Friday, February 21, 2025, at 5:00pm (PST) until go-live Monday, March 24, 2025.

Any submissions after 2/21/2025 cannot be processed and will need to be submitted again after CHRS Go-Live (3/24/20225) with new position numbers.

Personnel Transaction Forms

  • Regular and temporary employees (ePTF)
  • Unit 03 Faculty Additional Employment (ePTF)
    • For work completed prior to January 30, 2025, ePTFs may be submitted for review and approval up until the February 21 deadline.
    • For work completed after January 30, ePTFs will need to be submitted after Go-Live. Contact Faculty Affairs for instructions.
  • Academic Students (Unit 11) (ASEPTF)
  • Student Assistants (SEPTF)
  • Reminder: Any PTFs submitted after the 2/21/2025 deadline will not be processed.
  • Note: Contact the appropriate offices for exceptions, such as unplanned separations.

Budget Administration Processes

  • Regular and temporary position number requests for new recruitments (PageUp) or position changes (ePTFs)
  • Student Assistant position number requests
  • Requests for changes to position numbers
  • New position requests
  • Reports To changes
  • Organizational and department changes (creations, reorganization, etc.)
  • HR adjustments (chart string changes) for full or partial pay changes

Classification and Compensation

Compensation submissions will continue through OnBase. Position Description updates will continue to be received and reviewed. Keying of results for all other requests may be delayed until CHRS Go Live.

Faculty (Unit 03) Recruitment and Changes to Assignments

  • Tenure-track faculty hiring will be reviewed case by case by the Provost. Offers may not be made without approval from the Provost.
  • Temporary faculty hiring including substitute appointments will continue as needed. Contact OFA as soon as departments identify/ become aware of a need. Transactions will be completed in CHRS after Go-Live.
  • Adjustments to temporary faculty (lecturer) assignments during this period will continue as needed. Contact OFA as soon as departments become aware of the need for adjustment. Transactions will be completed in CHRS after Go-Live.
  • Unit 03 Coaches, Counselors and Librarian recruitment activity will continue during pause, however, new employee start dates, after March 7, 2025, will be scheduled for April 1, 2025.
  • 2025-26 Lecturer Pool posts: The schedule to refresh the lecturer pools is still the same, but the departments to wait until after Go-Live before they can submit offer cards for Summer and/or 2025/26 AY hiring.

Staff and Management (MPP) Recruitment

  • Campus staff and management PageUp recruitment activity will continue during the pause, including release of applicant pools to search committees up until March 19, 2025.
  • The last day to start a new employee before the CHRS go-live is March 7, 2025. The first day after CHRS go-live to start a new employee is April 1, 2025.

3/6/2025 February Time & Payroll Reporting Access Ends

Access from My Sac State to Report Absences, Report Hours Worked, and Approve Reported Hours for the February pay period ends 3/6/2025 and will offline beginning 3/7/2025.

  • 3/4/2025 (Tuesday): February Time Reporting, Absence Entry, and No Leave Taken entry Deadline
  • 3/6/2025 (Thursday): February Time Reporting/Absence Approval Deadline
  • 3/7/2025 (Friday): Links to Report Absences, Report Hours Worked, Approve Reported Hours, Employee Center, Compensation History, Current Leave Balance, and View Paycheck will be inactivated in the Sac State Employee Portal.
  • Timekeeper access to CMS-HR remains available through 3/13/2025. (The CMS-HR link will be inactivated in My Sac State on 3/14/2025.) For February time issues after 3/14/2025, please contact your Pay Tech.
  • As a reminder, time reporting and absence entry for March 2025 is paused until CHRS Go-Live on March 24, 2025.
  • View and "Subscribe" to the Payroll Events Calendar online to receive weekly Payroll reminders in the future.
  • View earnings and W-2 detail via Cal Employee Connect.

March Absence and Time Reporting Pause Until 3/24/2025

Any absences or time entered for March 2025 or beyond will not be transitioned into CHRS.

  • February 2025 will be the last pay period reported in our current CMS-HR system. Do not enter absences or time for the March 2025 or later pay periods in CMS-HR as these entries will not be converted.
  • March 2025 absences and time reporting must be tracked manually by employees until they can enter all March time in CHRS after go-live (3/24/2025). For your convenience, an excel worksheet to track March 2025 absences, time worked, or special time worked is available to download and use. However, departments may choose to track absences and time in other tools, such as Outlook calendars.
  • Once CHRS goes live (3/24/2025), employees will be asked to enter all March 2025 time reporting in CHRS.

3/22-23/2025 Faculty Center and Student Center Outage

A Campus Solutions outage (causing the Faculty Center and Student center to be offline) will occur the weekend of March 22-23, 2025. Specific dates and times to be announced.

  • This outage primarily affects students and faculty.
  • PeopleSoft Campus Solutions (CS) will be taken offline Saturday, March 22, 2025, at 12:01 AM, for all CHRS campuses.
  • CS is scheduled to be back online Sunday, March 23, 2025.

More information and campus communications will be provided closer to CHRS go-live.
