Space Requests for Use of University Facilities

Two forms are available for the campus community to request use of University facilities - The Web Request Form and The Standard Request Form. By submitting a request to use University facilities, customer agrees to Terms and Conditions (PDF) for use of University facilities. University facilities are not available on holidays when the Sacramento State campus is closed. Please note that community events and campus sponsored events involving external organizations require a minimum of 60 days' advance notice.

Space requests will be held on file until the appropriate time for event scheduling AFTER academic classes have been scheduled. Requests submitted after the priority timelines are processed in the order they are received. Event Scheduling Priority Timelines: February 1st for summer requests; June 1st for fall requests; and October 1st for winter and spring requests.

Faculty shall contact their department support staff to submit space requests.

Student organizations/groups shall contact the Events Services Office in the University Union for all space requests. If the student group event is directly associated with an academic class, then students shall consult with the relevant faculty member about the possibility of planning the event through the academic department.

Community organizations shall contact the Office of Space Management directly at (916) 278-6507 or spacemgt@csus.edu for further information and to request facilities for events. Please note that 60 days' advance notice is required. 

Classroom Use Expectations: Lecture classrooms are provided in "as is" condition. All users of classrooms are expected to leave the classroom and its equipment in good order. Keeping a classroom in good order includes chairs and tables straightened, electronic equipment shut off, taking away or disposing of everything one came in with, such as pop/food containers, newspapers, etc. Under no circumstances is furniture or other property to be removed from the room.

Web Request Form

Standard Request Form (SRF)

The University Classroom or Conference Room Web Request Form is appropriate for campus departments to use to request space for a University meeting for the current term only under the following conditions:

  • Requesting classroom or conference room only. Requests for use of labs and outdoor space require the Standard Request Form.
  • Requesting no more than three event dates and three room assignments per date.
  • Event occurs Monday through Thursday, 7:00am-10:00pm and Friday until 5:00pm (during normal business hours only).
  • No event services are requested/required.
  • No food is being served.
  • Attendance is less than 100.
  • No external group is involved with event.

Note: If all conditions noted above do not apply, use the Standard Request Form.

The Request to Use University Facilities Standard Form (SRF) is appropriate for campus departments to use to request space for a University meeting or event under one or more of the following conditions:

  • Requesting outdoor areas or special facilities: University theatres, Music Recital Hall, activity rooms, computer and department labs, gyms, etc. (this includes IRT pc labs).
  • Requesting classroom or conference room with more than three meeting dates.
  • Event occurs after 5:00pm on Friday through 7:00am on Monday (and/or during normal business hours).
  • Event services requested/required (custodial, grounds, trades, police, event manager, etc.).
  • Food is being served (light refreshments only in classrooms).
  • Attendance is 100 or more.
  • External group is involved with event (60 days' advance notice required). Contact Space Management for more information.

Note: Community organizations shall contact the Space Management directly to request use of University facilities. 60 days' advance notice is required.

Processing Time

Campus customers shall allow at least 3 business days to process the Web space request form. Same day requests cannot be accommodated.

Web requests may be submitted for the current term only.

Processing Time

Campus customers shall allow at least 10 business days to process the SRF space request form. For large, complex, and/or outdoor requests, additional advance notice may be required. Same day requests cannot be accommodated.

SRF space requests may be submitted up to 1 year in advance.

Without adequate scheduling time, it may not be possible to accommodate your request.

Phone requests from campus departments for space reservations are not accepted.

Important

Incomplete forms will delay the scheduling process; SRF space requests submitted without a speedchart may be returned unprocessed. Event charges will be communicated to the customer prior to billing and before the event is confirmed.
